Job Summary

The Special Events Coordinator will assist with the planning of all special events including the Annual Patriot Golf Classic, UT Tyler Hole-in-One Contest, scholarship dinners, homecoming, Presidential events, and other events intended to cultivate or steward donors.


Major Responsibilities/Duties/Critical Tasks

  • Assist with coordinating all facets of the University’s major fundraising events, including managing committees and volunteer groups.
  • Responsible for performing a variety of office functions of an advanced and complex nature centering around day-to-day event planning activities associated with the Office of University Advancement.
  • Create room layouts and coordinate event planning, set-up, and breakdown.
  • Finalize and communicate event details with vendors & technology service.
  • Maintain event calendar.
  • Create a variety of correspondences and invitations and receives RSVP's.
  • Oversee all functions for endowment compliance & donor recognition events among others.
  • Handle follow-up correspondence as needed and coordinates events’ accounts payable with the Administrative Assistant.
  • Monitor expenditures against the budget and maintains accurate accounting records.
  • Other duties as assigned.


Minimum Required Education/Experience

  • Bachelor’s degree.
  • Three (3) to five (5) years of experience in event coordination, planning, and execution of events in a development/ fundraising, university, nonprofit or corporate business environment.


Accompanying Knowledge, Skills, Abilities, and Competencies

  • Skilled in the use of computers and office software packages (such as Excel, ASANA, and Raiser's Edge).
  • Able to understand and carry out oral and written instructions.
  • Able to clearly communicate both orally and in writing.
  • Able to make decisions based on knowledge of departmental procedures.
  • Able to establish and maintain working relationships with students, staff, and faculty.
  • Able to work with minimal supervision.


Other Information

  • Will require travel to event locations on and off UT Tyler campus.
  • Position will require some evening and weekend work in order to execute University events.

Additional Information

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
