We are looking for a friendly, organized team member. Our receptionists are the face of TSAS (Tulsa School of Arts and Sciences) and give the first impression of our school. This position is part of a team of two receptionists. The receptionists serve visitors, students and parents by greeting, welcoming, and directing them appropriately. The receptionists notify school personnel of visitor arrival. They maintain security and monitor the telecommunications system. The receptionists create a warm, welcoming environment in the front office. They track attendance and run the cafeteria computer program. Being fluent in Spanish is a plus, but not required.

Office Management
- Greets and receives visitors respectfully and professionally
- Serves students and families during student Check-in /Check-out procedure
- Answers phone calls and door monitor in a pleasant, informed manner for the purpose of providing information and creating a good image of the school
- Monitors major entry points to the school
- Develops a positive, welcoming and caring climate in the front office
- Emails messages to teachers/staff
- Maintains, sorts, and distributes postal deliveries
- Disperses student shadowing packets
- Assists Registrar and families with applications, enrollment and re-enrollment
- Assists with setting up folders/keys for substitutes
- Copy and send forms for: Permit-to-Leave, Tardy, Office, Dean of Students, Counselor, College Counselor, Notes
- Supervises office aides
- Maintains records on student lockers, car decals, and chromebooks
- Maintains records on visiting caseworkers’ information
- Orders office supplies
- Maintains copiers/printers
- Supervises sending teacher notes
- Supervises sending parent notes
- Checks overnight answering machine
- Honors confidential information
- Manages sick students and parent/teacher communication
- Assists as needed in administering first aid
Attendance
- Teaches new students how to log in when tardy
- Learns student information system and maintains records of student attendance
- Maintains doctor notes/ records of student tardiness
- Corrects missing teacher attendance
- Calculates daily attendance
- Sends attendance notifications to students and parents
- Answers attendance emails
- Works in collaboration with the other receptionist as a team to cover all office needs
Breakfast/Lunch Line
- Runs cafeteria computer program
- Monitors students as they enter student ID number on keypad
- Checks computer program to verify and make corrections
- Supervises student line/Builds positive relationships with students
