In conjunction with the Clinical Department Chair, responsible for directing the operation and strategic planning of assigned areas including patient/customer services, human resources and financial management supporting the organization’s goals and mission. Analyzes and evaluates staffing, goals and objectives, budgets, financial strategies and operations functions for assigned areas. Coordinates activities with management team or others.

Primary Responsibilities:

  • Works in conjunction with senior leadership to define and prioritize assigned areas strategy and direction. Collaborates with the Department Chair or others, assisting in the design and implementation of the assigned areas strategic and business plans. Coordinates the activities to assist in the executive of the plans
  • Directs analytical studies of existing or proposed services and activities to provide the economic basis for decisions to improve the operational and/or financial performance of assigned areas
  • Assures clinical quality of assigned sites in relation to patient and physicians needs. Prepares recommendations for development of services and resources targeting at improving clinical quality outcomes
  • Identifies trends and appraises causes and effectives and highlights opportunities to improve performance. Gathers, selects, and utilizes information on appropriate industry operational benchmarks to establish the most appropriate standards and reporting methodology to foster on-to make improvements in operating efficiency/process improvement
  • Establishes and maintains an effective organization overseeing the administration of the clinical practices at assigned sites. Plans, organizes, directs and controls the operation of assigned sites including the development of long and short range plans to strengthen the sites position within the market and align with organization’s strategic plan. In collaboration with the Department Chair or others develops and executes assigned organizational and staffing plans, recruitment activities, administering the merit increase program, long and short-range initiatives that align with strategic plan, etc.
  • Directs the development and execution of multiple marketing plans and promotional activities for promoting assigned areas services to business, civic and community groups, government agencies, local hospitals and professional organizations. Coordinates efforts with the Marketing and Communication Department or others
  • Oversees the daily operations and management of assigned sites. Works with management team to develop and modify the efficiency and effectiveness of each assigned site to promote operational excellence. Gathers, analyzes, trends, reviews site operations data to identify areas for improvement of services. Works to reduce patient complaints. Develops plans to resolve issues
  • Supports physicians in their clinical practices. Works with physician leadership at sites to ensure an efficient and effective healthcare delivery
  • Coordinates the physician employment agreements including monitoring periodic updates
  • Participates in the recruitment and orientation for new physician and advanced practitioners
  • Plans, organizes, directs and controls the implementation and continued observance of regulatory requirements within assigned areas
  • Negotiates and coordinates service agreements with outside vendors including, equipment, supply and services
  • Oversees/manages assigned areas billing and collection activities, ensuring efficient coordination with Revenue Operations. Monitors and evaluates billing performance. Creates and revises material/information as required. Evaluates workflow and streamlines processes as required. Resolves discrepancies as required
  • Participates in succession planning and leadership development
  • Develops, implements and monitors compliance with the organization’s Operations Manual
  • Oversees the maintenance and safety of the property of the organization’s sites
  • Meets regularly with Department Chairs, Site Chiefs, or others as appropriate to ensure the efficient flow of day-to-day activities
  • Directs and supervises assigned personnel including performance evaluations, scheduling, orientation, supporting, coaching and training. Makes recommendations on employee hire, transfers, promotions, salary changes, discipline, terminations, and other similar actions. Resolves grievances and other personnel problems within position responsibilities
  • In collaboration with Department Chair and others, establishes annual goals and objectives in support of the organization’s strategic initiatives, and reports on progress as required

Required Qualifications:

  • Master’s Degree in Business Administration, Healthcare, or related field with relevant experience
  • Demonstrated knowledge of group practice, budgetary needs and organizational structures
  • Knowledge of physician office practices and procedures
  • Demonstrated leadership, financial and management skills
  • Knowledge of financial planning and forecasting of group practice operations, generally accepted accounting principles and budget variance reporting
  • Demonstrated ability to handle multiple priorities
  • Knowledge of a variety of software products/systems such as Microsoft Office, Excel, Word, Power Point, EPIC, DMS, SRC Budget, etc.
  • Excellent project management skills
  • Excellent interpersonal, organizational and communication skills
