Location: Fully remote is acceptable, Hybrid is preferred near the Orange County, California area (15-20 hours per week in the office or company events, balance work from home if desired).

Salary: $25-35 per hour depending on qualifications

Responsibilities:

  • Provide high-level administrative support to the CEO
  • Manage and maintain the CEO's calendar, ensuring timely and efficient scheduling of appointments, meetings, and travel arrangements
  • Act as a true "go-to" and "air traffic controller" for the team and clients
  • Attend CEO keynotes, book signings, and other events and support ground logistics and CEO needs
  • Support the proposal development process and contract routing and oversight. Proposal development is key and previous experience with proposal writing/management/QC (OR similar technical/creative writing skills) is major extra points.
  • Handle light financial management responsibilities working with company accountant.
  • Embrace adversity, unpredictability, and be able to function best when spinning lots of plates
  • Create order out of chaos - fast moving company = lots of opportunity to create structure.
  • Prioritize conflicting needs and handle matters expeditiously and proactively
  • Communicate and liaise effectively with internal and external stakeholders
  • Provide support to CEO for personal appointments and tasks (less than 10% of role)
  • Perform other related duties as assigned

Qualifications:

  • 3+ years of experience supporting executives
  • Excellent organizational, time management, and prioritization skills
  • Outstanding verbal and written communication skills
  • High proficiency in Microsoft Suite - Outlook, CRMs (we use Monday.com) and other relevant software
  • Strong attention to detail and ability to work well under pressure
  • Ability to maintain confidentiality and exercise sound judgment
