FFI GRANTS AND CONTRACTS COORDINATOR

The Food Finance Institute¿s (FFI) mission is to make sophisticated financial technical assistance available to every growing food and farm business. We equip entrepreneurs to get profitable and raise money through high quality training, meaningful industry connections/partnerships and on-demand digital resources.

POSITION SUMMARY

The FFI Grants and Contracts Coordinator provides a broad range of grants, contracts, evaluation, and operations functions in support of the Food Finance Institute and their mission to both make sophisticated financial technical assistance available to every growing food, beverage, and value-added farm enterprise and center justice, equity, diversity and inclusion in all work. Reporting directly to the FFI Acting Director, the Grants and Contracts Coordinator operates under general supervision.

MAJOR RESPONSIBILITIES

GRANT ADMINISTRATION/COORDINATION (40%)
¿ Manage FFI grant timelines and deliverables
¿ Coordinate grant meetings including shared notes, schedules, and overall grant needs
¿ Coordinate grant processes, data needs, and notes to ensure efficient reporting
¿ Track project and grant-related deliverables including budget-to-actual expenses and reporting details
¿ Draft grant budgets and support grant proposal development
¿ Lead grant reporting and evaluation needs including third party evaluators, data collection and aggregation, and other related tasks

DATA AND EVALUATION COORDINATION (20%)
¿ Coordinate with IBE and evaluation team to align metrics and data across program units
¿ Coordinate FFI¿s suite of data and evaluation collection needs across areas of impact including, but not limited to, financial, economic, social, and environmental
¿ Manage third-party contractors to support evaluation
¿ Manage evaluation including data collection and data synthesis for sharing our impact and meeting funder/stakeholder needs

SYSTEMS AND INFRASTRUCTRE OPERATIONS SUPPORT (15%)
¿ Coordinate and support operations duties for FFI to ensure that FFI is running smoothly
¿ Coordinate operations team meetings and manage operations workflow; prioritize tasks and workflow with FFI Director
¿ Work with operations team to document workflows and processes, identify opportunities for automation and integration, and to continuously improve upon processes.

CONTRACTS ADMINISTRATION/COORDINATION (10%)
¿ Manage contracts, vendors and procurement processes with third-party vendors, IBE and UW System Administration
¿ Manage contracts with FFI partners to execute work including training, programs, education, consulting, etc.
¿ Support contract proposal and budget development
¿ Coordinate with FFI staff and partners to ensure fulfillment of contracts and timely invoicing

FINANCIAL OPERATIONS SUPPORT (10%)
¿ Work with IBE Financial team to coordinate invoices, payments, contracts and procurement
¿ Coordinate invoicing and receipt of payments across programming and funding source
¿ Track and code expenses ensuring they are properly allocated to the right expense account/funding source
¿ Manage and reconcile FFI¿s purchasing card and related purchases
¿ Run reports and manage organizational, project and grant related budget tracking documents

MINIMUM QUALIFICATIONS

To be considered for this position, applicants must have:
¿ Experience. A minimum of three-years of professional experience or a bachelor¿s degree, that may include grants management, project management, budget and financial planning, administration, contracts and procurement, data and evaluation.
¿ Grants or Program Management: experience managing grants or programs including reporting, budgeting, and tracking expenses.
¿ Project Management: Experience coordinating and communicating with partners and teams to move a project or scope of work forward.
¿ Data and Evaluation: Experience collecting data or being part of a data collection or evaluation project.
¿ Finance and Budgets: Familiarity with budgeting and tracking revenue and expenses.
Soft Skills:
¿ Excellent personal initiative, attention to detail, and sound decision-making abilities under pressure while managing shifting workload demands to meet timely deadlines.
¿ The capability to work independently with minimal supervision.
¿ Strong interpersonal and organizational skills.

PREFERRED QUALIFICATIONS

Well-qualified applicants will also have experience in the following:

¿ Managing USDA Grants

¿ Creating grant proposals or grant/program budgets

¿ General business or marketing knowledge (either through work history or a degree)

COMPENSATION AND BENEFITS

The FFI Grants & Contracts Coordinator (official title: Outreach Program Manager) is a full-time, salaried (Exempt), Academic staff position. Well-qualified candidates can expect a starting annual salary within a range of $50,000 - $65,000 commensurate with the candidate¿s education, related experience, and qualifications.
