Job Summary:
The Appointment Setter is primarily responsible for developing new leads, communicating with customers to understand their needs, and ensuring a smooth sales process. This position may also assist with contract preparation and negotiations of pricing terms to generate signed agreements. The right candidate must be professional with a self-motivating, positive, and energetic attitude.
Salary: $23-$25 hourly
Schedule: Monday-Friday

- This is an in office position.
Duties and Responsibilities:
- Answer in-bound phone calls from members of the public inquiring about True Legacy Homes services.
- Log all calls to Salesforce.
- Understand customers’ needs and identify sales opportunities.
- Assures that all inbound calls are answered within the first 2-3 telephone rings.
- Assures that any “missed” calls are returned within one (1) hour of having been received.
- Assures that another staff person is available to cover inbound phone calls before leaving for lunch, or any other period of unavailability.
- Answer questions about services with the intention of setting an appointment with of our outside sales representatives.
- Respond to all inquiries that come through Heymarket looking specifically for any potential sales leads.
- Respond and resolve all lead inquiries generated through Estatesales.net.
- Complete all lead tracking and follow up by making outbound calls to all leads in Salesforce.
- Emphasize why True Legacy is superlative to all competition by explaining our additional services such as, real estate, renovation services, and long-term care placement.
- Answer in-bound phone calls from members of the public who are inquiring about the availability of estate sales merchandise.
- Help shoppers if they call in with questions about all upcoming sales by serving as a liaison between customers and team leads on items for sale.
- Send estate sale contracts out to all qualified clients with terms of agreement set by the outside sales representative.
- Change the status of the opportunity from appointment set to pursuit if contract is sent or closed. Make note of why we were unable to accept the sale (i.e., HOA, parking, not enough items for sale, etc.).
- Analyze sale reports generated from Salesforce to understand current trends and work to improve and set sales goals.
- Stay informed of competition.
- Make new pitch recommendations to help attract potential clients.
- Support estate sale team and client communication.
- Update the estate sale calendar by coordinating appointments for True Legacy Homes outside sales representatives, including real estate appraisals.
- Update outbound sales calendar for business-to-business appointments.
- Make sure each weekend has the appropriate number of sales, so that the estate sales calendar is full, while taking into consideration the labor ratings and labor requirement of all estate sales.
- Coordinate with the Retail Operations Manager, or Assistant Retail Operations Manager to make sure we have enough manpower and work for all field team members.
- Coordinate, plan and communicate with Operation Managers to assist with task management for field team members.
- Manage all pending client contracts in DocuSign and negotiate pricing and terms with clients to generate a signed sales agreement.
- Assist with marketing for estate sales websites and the Mailchimp ad that benefits in the success of each sale.
- Attempt to deescalate client complaints before escalating to upper management to try and diffuse situation and/or appease client.
- Cooperates and supports new Company initiatives.
- Other job-related duties as assigned.
Requirements:
- 2-3 years of appointment setting experience.
- Exceptional time management and organizational abilities.
- Ability to prioritize tasks and work efficiently.
- Must possess a high level of integrity and present themselves in a professional manner.
- Excellent interpersonal and customer service skills.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Must be able to communicate with and relate to a diverse staff and clients in a courteous and professional manner.
- Minimum of one (1) year of office management experience.
- Highly proficient in Microsoft Office Suite, Salesforce, QuickBooks Time, and other work-related software.
- Ability to function well in a high-paced and at times stressful environment.
- Must have a valid Driver’s License (Class C).
Preferred Education and Experience:
- Bachelor’s Degree in related field.
- 3 or more years of appointment setting experience.
Physical Requirements:
- The nature of the position requires prolonged periods of sitting.
- May on occasion require prolonged periods of walking or standing.
- Must be able to lift, push, pull up to 15 lbs.
- Bending and Stooping: Bending body downward and forward by bending spine at waist.
- Climbing: Ascending or descending ladders or stairs using feet and legs and/or hands and arms. Body agility is emphasized.
- Mobility Requirement: Ability to get from one location to another.
- Kneeling: Bending legs at knees to come to rest on one or both knees.
- Repetitive Motion: Substantial movements of the wrists, hands, fingers, and/or upper body for sustained periods of time, including using extremities to drag, push, pull or grasp.
- Visual Requirements: Able to see and read computer screens, small electronic devices, and maps.
- Hearing Requirement: Able to detect specific noises for proper equipment operation.
