Job Description

Connexus Hub is a professional services firm that works with Government Agencies and Fortune 500 customers. We are looking for an Administrative Assistant to support the Federal Correctional Complex (FCC) Yazoo City located in Yazoo City, Mississippi. The work is mostly sedentary but may require a moderate amount of walking and bending. Some lifting of inmate medical records,
financial reports, and office supplies (approximately 10 to 20 pounds) will be required.


Services will require frequent and unsupervised contact with inmates and must abide by all rules to ensure safety and well being.


You must able to pass a Government background investigation, drug testing, and receive a favorable credit report prior to employment.


Job type:
W2 + benefits (medical, dental, vision, 401k, vacation, sick)

Hours: Monday through Friday (except Federal holidays), normally between the hours of 7:30 a.m. and 4:00 p.m., with a 30-minute unpaid lunch period.

Duties
:

  • Processing budget, medical and other administrative documents
  • Updating, maintaining, researching, inventorying, and filing records
  • Prioritizing assigned tasks, soliciting feedback, preparing and consolidating reports
  • Retrieving and maintaining monthly accruals for two Cost Centers
  • Assisting with technical and analytical tasks involving complex medical procurements
  • Serving as a liaison between the Financial Management Department and the Health Services Department
  • Serving as a contact person in dealing with community hospitals and contract consultants relating to the Health Services Department’s billing, scheduling of patient appointments and procedures, and tracking onsite medical contractor time sheets
  • Communicating pertinent information from inmate’s medical history or treatment plan, with the medical providers in the community
  • Continuing responsibilities for projects, required reports, and statistical analysis of financial operations for the Health Services Department’s Cost Centers. Projects may include: catastrophic costs, outside medical expenditures, requesting and compiling financial data for the supervisor’s review
  • Assisting in making analytical comparisons to prior monthly and/or yearly requirements for major reports
  • Data entry
  • Issuing purchase order request numbers generated by the Health Services Department
  • Verifying bills as received
  • Investigating files for duplicate billing or other discrepancies and report findings to the Cost Center Manager (CCM) and the Financial Management Department
  • Submitting all invoices to the supervisor for certification
  • Assisting in the preparation of documents necessary to process requests for additional appropriations and allotments for special projects
  • Monitoring reports and documents to ensure the accounting data agrees with projected figures from Financial Management records
  • Assisting with the preparation of data for future budgeting and contractual estimates
  • Reviewing service contracts associated with the logistical and professional health care services for clerical errors
  • Maintaining required documents for the budgeting process
  • Establishing, implementing, and maintaining hospital accounting, filing budgetary systems
  • Reconciling all medically related expenditures
  • Serving as a Health Services Department liaison with hospitals, doctor offices, and other service providers in the community to ensure payments are submitted in a timely manner
  • Assisting in providing changes to consolidated obligation reports to accurately reflect accounting completed on the Financial Management records
  • Processing and maintaining financial document files such as invoices, vendor files, and budget reports from Financial Management
  • Transcribing correspondence to include transfer referrals, minutes for the Health Services Committee and staff meetings, letters, and other reports as necessary
  • Obtaining medical information and medical care for inmates, to include scheduling, establishing priority, securing approval, arranging transportation, and coordinating routine and emergency medical transfers with institution officials and receiving institutions
  • Preparing medical data on medical in-transit forms and ensures available information is included in the packet for transfer
  • Assisting the Health Information Tech with maintaining inmate and staff electronic (and hard copy) medical records

Requirements

  • High School Diploma or equivalent
  • Minimum 1 year of experience providing Administrative Assistant services
  • Certified CPR in accordance with American Red Cross or American Heart Association
  • Favorable credit report
  • Proficiency in Microsoft Office products
  • Good oral and written communication skills
  • Attention to detail
  • Clerical and administrative skills
  • Knowledge of financial management techniques to include maintaining detailed expenditures and budget reports
  • Technical knowledge of preparing and keying medical data into a computer system
  • Knowledge of Health Service Administration processes and basic medical terminology sufficient to process various requests, verify/schedule health care appointments and services, and process financial transactions
  • Bilingual oral communication skills desired
  • Experience in clinical correctional setting desired
