Job Description
Position Description: The AP Specialist is responsible for the full cycle Accounts Payable function, processing incoming invoices for accuracy, entering invoices for payment in the Accounts Payable system, maintaining accounting records, and support day-to-day operations in accounting department.
Essential Duties & Responsibilities:
- Responsible for high volume, full cycle Accounts Payable processing
- Process accounts payable transactions, enter and import vendor bills, vouchers, credit memos including but not limit to matching invoices to purchase orders, obtaining proper approvals, and entering data into the accounting system, resolve any discrepancies and or purchase variance in price, units, taxes, and total amounts
- Manage the AP email inbox and answer questions regarding billing
- Reconcile and follow up on monthly vendor statements and resolve any discrepancies in a timely manner
- Run weekly Aging Report of all outstanding AP Invoices and prepare weekly payments
- Make sure all employee expense reimbursements have proper supporting documents and ensure compliance with corporate travel policy
- Apply General Ledger Account Code and Department to all invoices
- Ensure that all adjustments are properly recorded prior to paying vendors
- Reconcile Accounts Payable detail ledger with general ledger controlling account monthly
- Maintain Accounts Payable files, organize, scan and file accounting documents
- Perform other related duties, responsibilities and special projects as assigned
Requirements, Qualifications, Skills & Abilities:
- Bachelor’s degree in Accounting or Finance from an accredited institution strongly preferred
- 3-5 years of experience with full cycle accounts payable required
- Ability to work independently and multi-task in fast paced, high-volume, complex and dynamic environment
- Oral and written communication—speaks clearly and persuasively in positive situations
- Adaptability—adapts to changes in the work environment, manages competing demands and can deal with frequent change, delays or unexpected events
- NetSuite experience is a plus
- Excellent computer skills in a Microsoft Windows and Office environment including Excel, Outlook and Word are required
